Photo & Media Consent Policy
How NES collects, uses, and protects photographs, videos, and other media featuring students and staff.
01 Introduction
Nishat Education System (NES) values the privacy, dignity, and safety of every student and staff member. As part of school life, NES may capture photographs and video footage during classes, events, sports activities, graduation ceremonies, ISSB training sessions, and other campus activities.
This policy explains how NES obtains consent for such media, how it is used, and the rights of students and parents to object or withdraw consent at any time.
Important: All students at NES are minors (under 18) or may be minors. No photograph, video, or other media featuring a student will be published or shared publicly without verified parental or guardian consent, in compliance with PECA 2016 and the laws of Pakistan.
02 Consent at Enrolment
At the time of enrolment, NES will request a signed media consent form from the parent or legal guardian of each student. This form will clearly ask for consent for:
- Use of the student's photograph or video on the NES website
- Use of media on NES official social media channels (Facebook, Instagram, YouTube)
- Use of media in printed materials such as brochures, banners, or prospectuses
- Use of media in press coverage or news features about NES
Each category of use will be listed separately so parents can give or withhold consent for specific uses. Consent for one category does not imply consent for all others.
Consent is entirely voluntary. Withholding media consent will have no impact on a student's admission, academic standing, or treatment at NES.
03 What Media We Capture
NES may capture the following types of media during school activities:
- Photographs at events such as sports days, ceremonies, competitions, and cultural programmes
- Group photographs of classes, teams, or cohorts
- Video footage of ISSB preparation drills, physical training, and school activities
- Audio-visual content for NES social media, promotional videos, or news features
- Individual achievement photographs (e.g. certificate presentations, results boards)
NES will always endeavour to capture group content rather than individually targeted footage of any single student unless specific consent has been granted for individual features.
04 How We Use Media

- NES official website pages
- NES Facebook, Instagram & YouTube
- School brochures & printed prospectuses
- Campus banners & display boards
- News and press features about NES achievements
- Annual school reports or magazines
- Internal school records and archives
✗ Never Permitted
- Sale or commercial licensing of student images
- Sharing with third-party advertisers
- Use in political or advocacy material
- Publishing without verified parental consent
- Sharing in private WhatsApp groups without consent
- Any use that could embarrass or harm a student
- Posting on personal staff social media accounts
05 What We Will Never Do
Regardless of consent status, NES commits to the following absolute protections for all students:
- We will never publish a photograph that identifies the home address, daily route, or personal schedule of any student
- We will never share media of students in a context that is demeaning, sexualised, or that could cause harm or embarrassment
- We will never use student photographs in advertising or sponsorship material without specific, separately obtained written consent
- We will never allow staff members to take personal photographs of students on personal devices without prior written authorisation from NES management
- We will never post media featuring a student whose parents have withheld or withdrawn consent, even in group photographs where that student is identifiable
06 Student-Taken Media & Peer Sharing
Students are reminded that taking and sharing photographs or videos of other students, staff, or campus activities without permission is a serious matter and may constitute a violation of privacy under PECA 2016.
- Students must not photograph or video other students in classrooms, changing areas, washrooms, or any private space
- Students must not share images or videos of fellow students on social media or messaging platforms without that student's (and their parent's) consent
- Violations of this rule will be treated as a serious disciplinary matter and, where applicable, referred to relevant authorities under PECA 2016
Under Section 21 of PECA 2016, sharing someone's image without consent with intent to harm their reputation is a criminal offence in Pakistan, punishable by imprisonment of up to 3 years or a fine of up to PKR 1,000,000.
07 Withdrawing Consent
Parents or guardians may withdraw media consent at any time by submitting a written request to the NES Administration Office. Upon receipt:
- NES will stop using the student's image in any new publications immediately
- NES will make reasonable efforts to remove existing published images within 14 working days, where technically feasible
- Some uses — such as images already printed in published brochures — may not be immediately retractable, but no further use will be made
- Withdrawal of consent will be documented and retained on file
To withdraw consent, email nishateducationalsystem@gmail.com with subject line: "Media Consent Withdrawal – [Student Name]" or visit the Administration Office in person.
08 Third-Party Photography at NES Events
At some school events — such as sports days, graduation ceremonies, or competitions — professional photographers or media representatives may be present. NES will:
- Notify parents in advance when a professional photographer or media crew will be present at an event
- Ensure that third-party photographers are briefed on this policy and agree to its terms before engaging
- Not permit press photography of individual identifiable students without specific parental consent
- Ensure parents who have withheld consent are given the opportunity to keep their child out of formal photographic sessions
Parents who bring personal cameras or phones to school events are responsible for ensuring they do not photograph students other than their own child in a way that could identify or harm them.
09 Data Storage & Retention
All media captured by NES is stored securely on NES-controlled systems and authorised cloud platforms. Media featuring students is:
- Accessible only to authorised NES staff and management
- Not shared with any third party other than those involved in producing NES communications (e.g. graphic designers under confidentiality agreements)
- Retained for no longer than 5 years after a student's departure from NES, after which archived media will be reviewed and, where appropriate, deleted
